Use Evernote as a repository for all your notes and documentation and never be without.Imagine that you're in a client meeting and have all of your files and client notes accessible through your phone for easy reference.

Imagine that, while at that meeting, you make a change to a note or add some additional information, and that change is automatically reflected on your laptop back at the office.

This is just a tiny bit of what you can do with Evernote (http://www.evernote.com). We are not affiliated with Evernote in any way, but we've been using it since March, 2010 and have become firm believers that this software is an essential app for every business. It is installed on my MacBook Pro, my iPhone and my iPad. I am currently using the free version but there is a premium version available as well ($5/month) for those that need more storage space or some other premium features.

What is Evernote?

Like Microsoft's OneNote, Evernote is a software tool that lets users create notes. Notes can be organized into different notebooks and tagged. Individual notes can contain text, images, audio, video and even entire webpages. Notes can be edited, formatted, re-tagged or archived. Evernote provides an easy way to reference information at any time and use that information in a number of ways.

Benefits of Evernote

1. Universal Platform

Evernote will run on Windows and MacOS, as well as iPhones and Android devices.

2. Automatic Sync

Evernote automatically syncs via the Internet. If you have Evernote on your computer, it connects to the Evernote server and syncs all of your notes. All of your other devices (iPhone and iPad in our case) regularly sync as well, passing any changes back and forth and keeping all of your devices up to date.

3. Variety of Media

Users can not only save text, but also images, audio and video. Users can embed entire websites including all text and images, for future reference.

4. Collaboration

Businesses can set up group accounts and share notes among multiple employees and individuals further expanding the use and functionality of the app.

5. Secure *

A pin code can be added to the iPhone and Android apps for extra security.

6. Local Copy *

While Evernote will sync your devices automatically, after every sync your device will have a complete copy of all your notes and notebooks, so even if you're offline you'll have access to your notes. Any changes you make will be synced the next time you have WiFi access.

7. Templates

Evernote will allow you to create templates so that if you're creating the same kind of note frequently, you can provide yourself with some structure ahead of time including complex workflows.

8. Search *

You can search all of your notes at once for any keyword or phrase and easily find the note you're looking for without having to remember where it is or how you tagged it.

9. History *

You can go back in time and view previous revisions of notes.

Ways to Use Evernote

Here are just a few ways in which your business can benefit from the use of Evernote:

  1. Letter / Email Templates - keep templates for emails that you regularly send. You can then access and use these templates from any of your devices, any time you need to send a message. This saves you time and also allows you to maintain a prompt and professional image in your communication and marketing.
  2. Client / Project Notes - keep notes and information on your clients or projects, and add them real-time during phone calls or meetings, and always be able to refer back to them later.
  3. Research - start new notes for research projects and paste in snippets of text, links, images and entire webpages for easy reference. Use a note for small projects or entire notebooks for larger ones.
  4. Blog and Article Ideas - start a note and begin to brainstorm blog topic ideas. Add to it any time. If you're on the road and have some time to kill, start writing a blog using one of these topics.
  5. Account Information - use Evernote to save low-priority account information. Only do this if you're sure that your personal computer is secure and have implemented the pin code for your smart phone.
  6. Travel Information - you can create notes that contain itineraries, hotel information, maps and other travel plans and details.
